Open Letter to ExhibitorsThe United States Association of Computational Mechanics (USACM) will hold their 6th National Congress August 1-3, 2001 at the Hyatt Regency Dearborn, in Dearborn, Michigan.
As a member of the 6th National Congress Organizing Committee, I am soliciting organizations that might be interested in participating in our Exhibitors Program.
Based on the attendance at the five previous USACM National Congresses (1991 Chicago, 1993 Washington DC, 1995 Dallas, 1997 San Francisco, 1999 Boulder CO) we expect about 800 participants at this year's conference; 700 attended the 1999 Boulder Congress.
Our membership and participants in the Congress are drawn from both industry and academia with an approximate split of 20% from industry and 80% from academia. All of the participants are interested in computational mechanics with the majority working or researching in solid mechanics. We are actively expanding our membership in the areas of biomechanics, computational fluid mechanics, and acoustics. We believe our Congress participants will be interested in viewing and discussing publications, hardware, software, and other materials, including educational, related to computational mechanics in our Exhibit Area.
As a relatively new organization, we have not focused on our Exhibitors Program at past Congresses, focusing instead on providing a quality Congress that our members and participants will find useful and continue to attend every two years. However, starting with our 4th National Congress in San Francisco we want to develop and establish a long term relation with Exhibitors that provide products and services of interest to our members and participants. To continue this program of establishing an Exhibitor base we intend to offer Exhibitors the following:
- Low cost for floor space - we will charge Exhibitors a low fee, in addition to the costs assigned by the Hyatt Hotel; see enclosed Exhibitor Services Information. We are also willing to accommodate unstaffed exhibits.
- The Exhibit Area will also be the location of the twice daily coffee breaks and will provide a focused opportunity for the Congress attendees to view your exhibit, in addition to the regular hours of the Exhibit Area during the Congress.
- We are trying to encourage Congress participants to remain at the Congress for three FULL days by offering a low cost Post Congress Short Course on Saturday 4 August. We believe this offering, combined with travel discounts associated with weekend stays, will increase attendance at our late afternoon Friday sessions and foot traffic through the Exhibit Area all day Friday.
- As an experiment, we are willing to devote scheduled sessions to Exhibitors who want to conduct open forum type question and answer sessions with users or potential users of their product. We are thinking this is most appropriate for software vendors, but are willing to consider other products or services using this type of forum.
- We are limited to only 12 exhibitor spaces at this Congress.

Exhibitor Services Information
Our goal is to attract Exhibitors that will add interest and value to the Congress experience for our participants. We intend to charge Exhibitors only the additional costs assigned by the Hyatt Hotel to the Exhibit Area, as outlined below. We have space for only 12 Exhibitors and intend to allocate space on a first-come-first-served basis.
The basic Exhibitor cost will be $1000 for which the Hyatt Hotel will provide a 10 x 10 foot space that includes a standard table (30 x 72 inch) and two chairs for each Exhibitor. Standard electrical power outlets will be located nearby. Access to the Internet can be provided for an addition fee. We will attempt to provide for other special requests on a case-by-case basis.
As a further service to our Exhibitors, we are willing to accommodate unstaffed exhibits. This worked quite well for one exhibitor at the 4th Congress and maybe of particular interest to publishers whose product is self explanatory. Exhibitors who wish to take advantage of an unstaffed exhibit will need to have their exhibit shipped to the Hyatt Hotel and pay for return shipment. There is also the possibility of holding a raffle of Exhibitor’s products at the Thursday night Congress Banquet.
For your planning purposes we are proposing the following schedule for Exhibitors:
- Set-up: Starts 8 AM on Wednesday 1 August,
- Exhibits Open: Wednesday 1 August through noon Friday 3 August (daily hours of 9 AM to 6 PM),
- Break-down: Starts noon Friday 3 August to be completed by 6 PM 3 August.
Changes to this proposed schedule are possible but we would need as much advanced notice as possible.

You should ship to arrive as close to the start of the Congress, 1 Aug 01, as possible, as there is a $5/day/article storage charge. One free day of storage is provided, and there is no charge for storage over a weekend.
You will have to pay the above fees, to the Hyatt, to retrieve your articles.
